Instagram DM automation with Calendly: from "how much?" to a booked slot

Calendly solves the scheduling. It does nothing about the conversation before it. This guide covers the three ways to connect Instagram DMs to Calendly, the one mistake that produces no-shows, and how to get bookings back into the thread they came from.

The mistake first: the link in message one

Dropping your Calendly link into the first reply feels efficient. It produces two things: no-shows, because nobody was qualified, and silence, because a link is a full stop. The link should arrive after the lead has answered two or three questions and you'd actually want them on the call. Everything below assumes that order.

Option 1 — manual, with a saved reply

Instagram's saved replies let you paste the link in two taps. Works fine at a few DMs a day. Breaks the moment you're busy, asleep, or the reel takes off, and there's no record of which conversation produced which booking.

Option 2 — a flow builder

Tools like ManyChat can send the Calendly link inside a scripted flow: keyword in, buttons, link out. The scheduling step works. The qualification step is a form disguised as buttons, and any question the flow didn't anticipate falls through to a default block. Fine for delivering a link after a "book a call" keyword; weak for an actual sales conversation. Our ManyChat comparison goes deeper.

Option 3 — an AI setter with native Calendly

An AI appointment setter holds the conversation, asks your qualifying questions, and sends the Calendly link when they're answered. With a native integration, the booking flows back into the conversation record, so you see who booked from which thread and which ad. Setterr connects to Calendly with one click (or uses any booking link you paste), and:

Setting it up with Setterr

  1. Sign in with Instagram (Meta's official login).
  2. In the first-run test drive, when your setter asks for your booking link, paste your Calendly URL, or connect Calendly in Settings → Connections for the two-way sync.
  3. Set your qualifying questions in the playbook. Two or three is right; the link is offered only once they're answered.
  4. Run in draft mode until you've approved a few real booking conversations, then switch on autopilot.

Frequently asked

Can I automatically send my Calendly link in Instagram DMs?

Yes. A flow builder can send it on a keyword, and an AI setter like Setterr sends it once the lead has answered your qualifying questions. The second approach produces far fewer no-shows because nobody gets the link before they've been qualified.

Does Setterr integrate with Calendly?

Yes. Connect Calendly in one click and bookings sync back to the conversation they came from, so you can see which thread — and which ad — produced each call. Any other booking link works too, without the sync.

When should the booking link be sent?

After two or three qualifying questions have been answered and the lead is someone you'd want on the call. A link in the first reply reads as a brush-off and books unqualified people.

Does it work with booking tools other than Calendly?

Yes. Setterr sends whatever booking link you give it — Cal.com, Acuity, HubSpot, a clinic scheduler — at the right moment in the conversation. Calendly is the one with the native booking sync.

Connect Instagram, paste your Calendly, done

Setterr qualifies the lead, sends your link at the right moment, and logs the booking back to the conversation.
