Instagram chatbot for appointment booking: what to set up, and what actually books

An Instagram booking chatbot answers the DM, offers a time and confirms it, without your front desk. The ones that work do one extra thing most guides skip: they ask two questions before offering the slot. Here's how to set one up, the two kinds of bot, and the data on what converts.

What Meta allows

Both kinds must run through Meta's Instagram Messaging API on a professional account, connected via Instagram login. The bot can reply freely for 24 hours after the person's last message and can send one private reply per comment. Booking confirmations and reminders inside that window are fine; blasting people who never messaged you is not. Details in the DM automation guide.

Setup, step by step

  1. Switch to a professional account (business or creator) if you haven't.
  2. Pick the bot type using the table above. If people ask questions before booking, choose AI.
  3. Connect your calendar. Calendly connects natively to most tools; Cal.com, Acuity, Boulevard, Vagaro and clinic schedulers work through a booking link. Create one short event type for DM bookings (15–20 minutes) with reminders at 24 hours and 1 hour.
  4. Write the screening questions. Two is enough: what they need, and one fit question (first time or returning; new injury or ongoing; budget in range). This is the step that turns a booking bot from a no-show machine into a calendar of people who show up.
  5. Set the hand-off rule. Anything clinical, unusual or angry goes to a human. In Setterr that's automatic: flagged threads push a notification and staff take over with one click.
  6. Run it in review mode first. Approve the bot's replies for a few days before letting it send on its own.

What converts, from real data

In Setterr's live clinic workspace (1 August – 14 September 2026), 499 Instagram conversations were answered in a median of 52 seconds, the bot asked its screening questions on every one, and 11.4% of engaged leads booked — against a 1.94% industry average. Ad-driven DMs booked at 14.1%, organic at 9.4%. The full breakdown is in the Q3 2026 report. Two things did the work: the reply arrived while the person was still on their phone, and the slot was offered only after the questions — which is why the calendar filled with people who fit.

Mistakes that produce no-shows

Frequently asked

Can an Instagram chatbot book appointments?

Yes. Through Meta's Instagram Messaging API a bot can reply to DMs, offer times and send a booking link or confirmation inside the thread. Button bots do it with menus; AI bots answer the person's questions first and offer the slot once they qualify.

Which calendar works with an Instagram booking bot?

Calendly connects natively to most tools, including Setterr. Cal.com, Acuity, Boulevard, Vagaro and clinic schedulers work through a booking link the bot sends at the right moment.

Do Instagram booking bots cause no-shows?

Bots that send the booking link in the first message do. Bots that ask two screening questions first, confirm in the thread and send reminders book people who show up. In Setterr's clinic data, 11.4% of engaged leads booked after screening.

Is an AI setter better than a button bot for bookings?

For services where people ask questions before booking — treatments, coaching, consultations — yes, because a button bot can't answer them. For fixed menus like a haircut or a class, a button bot is enough.
